Paper Prints Policy
1. Policy Statement
Global Virology Reports (GVR) is primarily an online-only, fully open access journal. All official articles are published digitally on the journal website. However, we recognize that some authors, institutions, conferences, and libraries may require physical print copies of individual articles or full issues for archiving, presentation, accreditation, or academic record-keeping. This Paper Prints Policy outlines how print copies may be requested, produced, and distributed.
2. Availability of Printed Copies
2.1 Article-Level Prints
Authors, institutions, and readers may request professionally printed copies of:
· A single published article
· A set of articles
· A special issue or thematic collection
A print request does not alter the article's digital publication status or citation details.
2.2 Issue-Level Prints
Although GVR does not produce routine print issues, full printed issues may be prepared on demand for:
· Libraries and archives
· Indexing agencies requiring print confirmation
· Conferences and workshops
· Institutional repositories
· National legal deposit requirements (where applicable)
3. Print Production Standards
All printed materials from GVR are produced using professional publishing standards:
· High-resolution print-ready PDFs
· Full-color printing for figures, images, and diagrams
· Acid-free archival-quality paper
· Durable binding (for multi-article compilations)
· DOI, citation details, cross-referencing, and metadata included
Print materials are designed to match the Version of Record as displayed on the journal website.
4. Fees and Cost Structure
Because GVR is an open access journal without subscription revenue, printing physical materials incurs a nominal fee to cover production and shipping costs.
4.1 Article Print Fees
Fees reflect:
· Number of pages
· Color vs. grayscale printing
· Quantity requested
· Shipping destination
A cost estimate is provided before printing.
4.2 Institutional or Bulk Orders
Discounted rates may apply for:
· Large institutional orders
· Conference packs
· Library subscriptions to annual printed compilations
4.3 Waivers
GVR may provide partial or full printing-fee waivers for:
· Authors from low-income regions
· Requests related to public health emergencies
· Institutional teaching or outreach programs
Waiver decisions do not influence editorial or peer review outcomes.
5. Ordering Procedure
Print copies can be requested by contacting the Editorial Office. The following details must be provided:
· Article title, authors, and DOI
· Number of copies
· Print specifications (color/black & white, binding)
· Shipping address and contact phone number
· Billing information (if applicable)
· Waiver request (optional)
Processing begins upon confirmation of details and payment (if required).
6. Delivery and Timelines
6.1 Standard Production Time
Production typically requires 5–10 business days, depending on volume and specifications.
6.2 Shipping
Shipping timelines vary by region:
· 3–7 days within the country of printing
· 7–21 days for international deliveries
Tracked shipping is used whenever possible.
GVR is not responsible for customs delays or import restrictions in the destination country.
7. Use, Distribution, and Reuse
Printed copies are for:
· Personal use
· Institutional records
· Teaching
· Conferences
· Non-commercial distribution
Commercial sale or resale of printed copies is not permitted unless authorized by GVR.
All printed content remains governed by the article’s Creative Commons license (typically CC BY 4.0), meaning reuse must include proper attribution.
8. Corrections and Reprints
8.1 Corrections
If the printed copy contains a production error introduced by GVR:
· A corrected reprint will be issued free of charge.
8.2 Author-Initiated Reprints
If authors request updated prints after corrections or retractions:
· Standard fees apply.
8.3 Damaged Deliveries
If print copies arrive damaged:
· Replacement copies will be provided upon confirmation (photo proof required).
9. Archival Print Copies
GVR maintains a limited number of archival print copies for:
· Legal preservation
· Library deposit (for countries requiring it)
· Institutional verification
· Long-term record keeping
These archival copies are not for commercial distribution.
10. Policy Review
This policy is reviewed annually to ensure that print services remain:
· Cost-effective
· Environmentally responsible
· Consistent with digital-first open access principles
GVR may revise printing practices as digital preservation technologies evolve.
